KCVA collects the minimum information required to review school entries, confirm eligibility, schedule teams, calculate cost sharing, manage venue access, send event notices, and support safety communication.

Information KCVA may use

This may include school names, team divisions, player names and jersey numbers where applicable, and the contact details of the school’s designated captain and adult teacher or coach.

Information schools retain

Private player phone numbers, guardian contact details, medical records, health declarations, identification documents, and individual insurance records should be retained by the school or its designated adult representative unless a separate, necessary arrangement is agreed.

Access and sharing

Access should be limited to designated KCVA organizers. Information should not be provided to unrelated third parties except where necessary for venue entry, emergency assistance, or legal requirements. It will not be used for commercial marketing without additional permission.

Retention and requests

Player and guardian contact information that is no longer needed should be deleted after the event and necessary settlement. The recommended deletion date is 31 December 2026, except where legal or financial records require retention. To request access, correction, or deletion, contact .
