Ready for
the rally.
Volleyball involves running, jumping, diving, and rapid changes of direction. Collisions, falls, sprains, strains, and other sports-related injuries may occur. KCVA will organize the event within a reasonable scope, while schools, accompanying adults, participants, the venue, and KCVA each retain responsibilities that cannot be removed by a general disclaimer.
Adult school contact
Every participating school must appoint one adult teacher or coach as its official team and emergency contact. That representative should retain the team’s guardian, medical, and emergency information and communicate with families when necessary.
Minimum information
KCVA will collect only information necessary for eligibility, scheduling, operations, and official contact. Individual player phone numbers, guardian contact details, medical records, health declarations, and identification documents should remain with the school or designated adult unless a separate, strictly necessary arrangement is agreed.
Insurance
KCVA does not currently provide individual participant accident or medical insurance. Each school should arrange or confirm appropriate accident and medical coverage for its players before the tournament and notify KCVA through its designated adult representative that the arrangements have been reviewed.
First aid and emergency planning
KCVA and Volleywoods are still confirming first-aid equipment, on-site personnel, the nearest medical facility, emergency-service access, AED availability, evacuation, and incident communication. KCVA will not state that professional medical personnel or an ambulance are available unless this is confirmed in writing. Final procedures will be shared before the event.
Risk assessment
A formal event and venue risk assessment will be prepared after relevant safety information is received from the venue. It will cover court and equipment safety, participant injuries, crowd management, emergency access, evacuation, first aid, communications, and conditions requiring suspension or cancellation.
